About the Position:

A Hand to Humanity Association has a full-time role available for an energetic, committed, and thoughtful professional to support their administrative and finance needs. The position is open only to Cameroonians.

The selected candidate will provide administrative and financial support to the elaboration and implementation of systems and processes that are compliant with non-profit organizations as well as provide administrative support to all team members for the planning and execution of relevant meetings and project activities. The successful candidate will have experience in providing administrative, financial and operational support within an office setting, an understanding of basic financial principles, and the ability to coordinate with multiple local stakeholders (including donors, local officials, partners and suppliers). They should have knowledge of Cameroonian Non-Profit Organization finance requirements, excellent attention to detail, and be able to effectively communicate in both English and French.

The selected candidate will be based within the Yaoundé Secretariat office and reporting to the Operations Specialist.

Responsibilities:

The incumbent will be an excellent team player, possess the required interpersonal skills and will be able to maintain flexibility in their role. The key responsibilities are, though not limited to:

Administration:

  • Provide administrative and operational support to the Yaoundé office such as running the front desk, answering the office telephone, establishing the requirements for the purchase of office and medical supplies in coordination with the medical and social staff, coordinating with vendors as requested, among other tasks;
  • Provide logistical and administrative support for staff and partner site visits, meetings, or external stakeholder visits to Cameroon. This may include, but is not limited to making visa administrative documentation, hotel reservations, booking flights, distributing email invitations, ordering and ensuring the delivery of meals, etc;
  • Organization of workshops, conferences, retreats;
  • Coordination of surveys, per diem, travel agencies, organization of common services and other administrative surveys;
  • Support with protocol matters, registration of staff, coordination with local authorities on space and other administrative matters;
  • Carry out other relevant assignments on behalf of A Hand to Humanity Association, as required.

Finance:

  • Support with the elaboration of the Administration and Finance policies of the organization;
  • Maintain a strong control environment, ensuring accounting records are complete and accurate;
  • Prepare weekly/monthly payments in accordance with the agreed timetable and financial control procedures and ensure correct coding of all costs;
  • Ensure all transactions are processed accurately within the accounting system;
  • Assist the Operations Specialist with balance sheets reconciliations;
  • Assist the Operations Specialist with the elaboration and maintenance of the fixed asset register;
  • Review staff expenses claims with supporting receipts and prepare monthly expense reports; 
  • Act as a point of contact for all accounts payable queries;
  • Provide administrative support in relation to all bank accounts;
  • Help generate supporting schedules required in relation to the year-end statutory accounts;
  • Help ensure that the A Hand to Humanity Association in Cameroon remains compliant with NGO finance regulations;
  • Coordinate with other consultants or other staff to ensure up to date record keeping for annual audit purposes.  

Education:

  • Bachelor’s degree in Finance, Business Administration, or any related field;
  • A Higher National Diploma with an additional 2 years of relevant work experience may be accepted in lieu of a Bachelor’s university degree.

Experience:

Required:

  • A minimum of 2 years (4 years for a Higher National Diploma) of relevant experience in a similar role, preferably and NGO is required. Absence of NGO experience is not an eliminatory criterion;
  • Experience working with financial accounts to ensure proper record keeping in accordance with OHADA requirements; 
  • Track record in completing administrative, finance, and operational tasks with professionalism, a high degree of accuracy and efficiency; 
  • Experience working with multiple currencies;
  • Experience of performing bank reconciliations;
  • Demonstrated ability to multi-task and to respond to changing situations flexibly;
  • Analytical, with an eye for detail and good interpersonal skills;
  • Organized, efficient, and timely in managing assigned tasks;
  • Expertise in preparing thorough, well-written, and concise documents;
  • Sensitivity to cultural differences and understanding of the ethical issues in assigned areas;
  • Ability to work with, and effectively communicate across operations, program, and external stakeholder teams;
  • Self-starter who is able to identify and complete tasks with minimum supervision;
  • Proficiency in all programs in the Microsoft Office Suite or Google Workspace;
  • A deep commitment to global humanitarian and development issues;
  • Ability to work after hours (weekends and public holidays inclusive) when emergencies arise.

Desired:

  • Project development and proposal writing;
  • Mastery or experience with working with donors requirements such as the USAID, ECHO, KfW or the Canadian Government grants is considered as a strong asset;
  • Experience with NGO administrative, and finance processes;
  • Experience working with a diverse and multicultural team.

Language Requirements:

  • An excellent command of the English and French languages is required.

  • Self-starter and team player who is willing to routinely collaborate and problem-solve with colleagues in and out of Cameroon;
  • Ability to problem solve and develop creative solutions to challenges encountered within a local office and help establish and implement new systems and processes;

  • Strong time management skills – the ability to stick to deadlines and timetables.
