Poste proposé : Grants Manager

Major Responsibilities

The Grants Manager will be in charge of the overall donors activities and elaboration of donors documents in order to ensure the quality of relationship with donors and the respect of reporting deadlines With a core function of providing analysis and oversight to ensure compliance with grant specific requirements, this position will also provide specialized assistance in other dimensions of the project management cycle, including:

  • Grants management & compliance
  • Documentation of results and reporting, including preparing and/or reviewing information and reports for internal and external stakeholders

Specific Responsibilities

Grants Management & Compliance:

  • With the support of the Grants Coordinator, coordinate the development of quality proposals and narrative reports with relevant teams, including acting as lead writer when necessary.
  • Liaise with HQ units (Regional Unit, Awards Management Unit, Technical Units) to ensure proposals meet internal standards and are responsive to donor requirements.
  • Collaborate with the grants and the partnerships team
  • Support program staff to assess funding opportunities in line with IRC Chad’s strategic objectives and the local context, advising on these as required.
  • Work with program and project coordinators and managers to coordinate the timely development of high quality new funding proposals and reports.
  • Monitor and support the use of grant/project management tools such as the FM01, BvA, Project Cycle Meetings, and OTIS to ensure accurate tracking of opportunities, reporting and programmatic adjustments through the project life cycle.
  • Provide technical guidance on IRC and donor regulations to ensure compliance across IRC Chad, proactively raising and resolving issues.
  • Manage all reporting deadlines, and coordinate and consolidate reports as necessary to ensure documents are of the highest quality and in line with donor requirements.
  • Act as a focal point for HQ grants administration and compliance colleagues, including maintaining submissions on IRC’s online opportunity management tracking system (OTIS).
  • Contribute proactively to Project Cycle Meetings in collaboration with relevant project leads to ensure timely, quality implementation of project.
  • Perform other duties as may be assigned by the Grants Coordinator and Senior Management Team.

Information management

  • Act as custodian of documentation of institutional knowledge and program activities in coordination with relevant sector supervisors and coordinators.
  • Maintain comprehensive electronic files for programs and ensure IRC colleagues have access to relevant records and information.

Donor relations and communications

  • Liaise with donors and potential donors, and other operational partners, including through attendance at meetings, and representing IRC and IRC’s interests by maintaining positive and constructive relations.
  • In coordination with relevant colleagues, respond to requests from donors for compliance information and respond to donor compliance questions as needed.
  • Ensure that relevant staff members are aware of all donor communications, changes in regulations, and meetings or events.
  • Support on the development of program updates/communications for external circulation
  • Facilitate and participate in donor visits and/or meetings.
Profil recherché pour le poste : Grants Manager

Education :

  • Bachelor’s degree in relevant field and applicable experience in nonprofit governance, administration, grants management, including BD and compliance

Work Experience

  • 2/3 years of experience in a grant management role, preferably with an NGO
  • Prior grants management experience and familiarity with USG (USAID/BHA, BPRM), European (AFD, ECHO, SIDA, DG INTPA, GFFO), and UN (UNHCR, WFP, UNICEF) donor regulations, procedures and requirements
  • Experience working in a multi-cultural setting and preferably in Africa
  • Ability to work in unstable security environments

Demonstrated Technical Skills

  • Demonstrated experience with coordinating development of reports from institutional and private donors;
  • Working knowledge of budget development and management

Languages Required/Preferred

  • Fluency in French and proficiency in English, spoken and written

Computer/Other Requirements

  • Proficiency with Windows, Microsoft Office
  • Flexibility to adapt to changing requirements and circumstances
  • Excellent oral and written communications skills and demonstrated ability to produce and edit documents under deadline pressure
  • Strong organizational, time management and analytical skills
  • Aptitude to adapt to a different context regarding security, culture, climate or health issues
