Position: ASSISTANT SECRETARY

Job summary

Performing clerical tasks on behave of the management of GROUPE JEG SARL. It consists coordinating its day-to-day activities such as managing the calendar of the Board of management, taking phone calls and messages, sending emails, preparing for large meetings and presentations, taking down notes and minutes in meetings and many other related tasks.

Responsibilities

  • Receive visitors and making them fill comfortable, answering enquiries, and creating a welcoming environment;
  • Welcome and walk in customers, and determine their purpose of visit;
  • Plan the work of the General Supervisor and the Head Office Manager and remind them of their schedules;
  • Organizing managements calendar, travel meetings and schedule arrangements of the General Supervisor and the Head Office Manager;
  • Creating documentation, filing, storing, retrieving business and personal activities;
  • Making preparations for meetings, presentations, and other engagements of the General Supervisor and the Head Office Manager;
  • Providing support in marketing and assisting in strategic planning;
  • Assist the accountant with the preparation of invoices;
  • Managing the budget assigned for secretariat duties;
  • Receiving, opening and distributing correspondence to staff within the company;
  • Assist the Executive Secretary in answering and forwarding incoming calls when needed and appropriately reply emails;
  • Perform all other functions attributed by the hierarchy.

Competence and relevant experiences

  • HND or BTS in assistant management or executive secretarial duties;
  • 2-3 years of clerical, secretariat, or office experience;
  • Perfectly bilingual in French and English;
  • Exhibit professionalism to represent the company positively;
  • Interacting comfortably with people holding higher and lower job titles;
  • Demonstrating numerical competency for example data entry experience;
  • Working knowledge of general office equipment;
  • High degree of attention to detail;
  • Comfortable with different task or demands to accomplish;
  • Prioritizing responsibilities to ensure the most important and time-sensitive tasks get completed first;
  • Putting in the best in one’s work in meeting the organizations objectives.
